Managed 3CX phone system

Business VoIP phone system on 3CX, managed with your IT

Your phones should work as reliably as the rest of your office. Nexxo sets up and manages a 3CX phone system for your business, on desk phones, computers and mobile apps, and looks after it alongside your network, Wi-Fi and firewall. One provider, one number to call.

A 3CX phone system managed together with your IT

A 3CX phone system gives a growing business a modern way to handle calls, but only if it is set up and looked after properly. Too often, the phones are someone else’s problem. Calls break up and the phone company blames the network, while the network person blames the phone company. Nobody updated the call menu after the last schedule change, a new employee waits a week for an extension, and a weak password lets fraudsters run up long-distance charges overnight. Nexxo takes that off your plate. Because we already manage your network, Wi-Fi and firewall, we can look after your phones too. We design your call flows, configure 3CX, coordinate the transfer of your existing numbers, set up desk phones and apps, and tune the network so calls stay clear. After that, we handle updates, security and every change you ask for, with 24/7 support.

Cloud or on-premises 3CX

3CX is a software phone system (PBX), so it does not need a closet full of hardware. We set it up hosted in the cloud or on a server in your office, depending on your needs, and keep it running, backed up and up to date.

Your business line anywhere

Staff can take calls on a desk phone, in a web browser on their computer or with the 3CX app on their iPhone or Android phone. Your business number goes with them, so clients reach the right person without ever getting a personal cell number.

Keep your existing numbers

In most cases, you keep the phone numbers your clients already know. We coordinate the transfer (number porting) with your SIP trunk provider, the company that connects your system to the phone network, and schedule the switch to avoid missed calls.

Call menus, queues and hours

We build a digital receptionist (auto attendant) that greets callers and routes them by department, plus ring groups, call queues and business-hours rules. Evenings, weekends and holidays are handled automatically, and we adjust everything whenever your schedule or team changes.

Voicemail, recording and integrations

Voicemails can arrive in your email inbox, and calls can be recorded where you need it. 3CX can be integrated with Microsoft Teams and with common contact and CRM tools, and it also offers a website live chat option if you want one.

Clear, secure calls

We configure quality of service (QoS) on your network and firewall so voice traffic gets priority. We also lock down the system with strong passwords, restrictions on international calling to prevent toll fraud, and regular updates.

How it Works

Our 4-step 3CX approach

01

Review your calls

We look at how calls come in today, who answers them, your current numbers and phone provider, and the state of your network and Wi-Fi. You get a plain-language summary of what works, what doesn’t and what we recommend.

02

Design your call flows

Together, we map out greetings, menus, ring groups, queues, business hours and who gets which phone or app. We also plan where 3CX will be hosted and how your numbers will be transferred. You approve the plan before anything changes.

03

Set up and switch

We configure 3CX, set up desk phones and apps, adjust your network for call quality and coordinate the number transfer with your provider. We test with your team, show staff the basics and schedule the switch to limit disruption.

04

Manage and support

From then on, we keep your phone system updated and secure, monitor it, and handle moves, additions and changes: new employees, new menus, holiday hours. Your team calls one place for phones, computers and network, 24/7.

Law 25

Call recordings and voicemails are personal information too

Under Québec’s Law 25, a recorded call or a voicemail can contain personal information: names, account details, health or financial information. That means the same rules apply as for your other data. Callers should be told when calls are recorded, recordings should be kept only as long as needed, and access should be limited to the people who need it. A phone system that gets compromised can also expose recordings and lead to toll fraud. Nexxo helps you configure 3CX to support these obligations, working alongside the person in charge of personal information protection. This is a technical safeguard, not legal advice.

  • Recording noticeWe add a clear message to your greeting so callers know when calls are recorded, supporting consent and transparency.
  • Retention periodsWe help you set how long recordings and voicemails are kept, so personal information is not stored longer than you need it.
  • Restricted listeningOnly the people you designate can listen to or download recordings, and we review those permissions when staff change roles or leave.
  • Known storage locationYou know where your recordings are stored, which matters if personal information leaves Québec and a privacy impact assessment is needed.

What is a 3CX phone system, and why have it managed?

3CX is a business VoIP phone system: software that runs your company’s phone lines over the internet instead of traditional phone wiring. It handles extensions, call menus, queues, voicemail and mobile apps. Having it managed means Nexxo sets it up, keeps it updated and secure, and makes changes for you. You do not need someone in the office who understands phone systems, and call problems are handled by the same team that runs your network.

Do we need a phone system if we already use Microsoft Teams?

Teams is great for internal chats and meetings, but many businesses still need a real phone number, a call menu, queues and a reliable way to answer clients who call in. 3CX handles that side. It can be integrated with Microsoft Teams, so staff can keep working where they are comfortable while calls follow your business rules. We will help you decide what makes sense for your team.

Can we keep our current phone numbers?

In most cases, yes. Moving a number to a new provider is called number porting. We coordinate it with your SIP trunk provider, the company that connects your phone system to the public phone network, and plan the switch so calls keep reaching you. Porting timelines depend on the carriers involved, so we start early and confirm the date with you before anything changes.

What affects the cost of a managed 3CX phone system?

The main factors are the number of users and extensions, whether 3CX is hosted in the cloud or on a server in your office, the number of desk phones you need, your phone lines and calling plan with your SIP trunk provider, the number of sites, and features like call recording or integrations. The level of support also plays a role. We start with a review so the proposal fits how you actually use the phone.

How does switching from our old phone system work?

We first document your current setup: numbers, extensions, greetings and who answers what. We then build your 3CX system in parallel, set up phones and apps, and test with your team before moving any numbers. The final switch is scheduled with you, often outside business hours, so clients keep reaching you. Staff get a short walkthrough of the basics, and we stay close in the first days for adjustments.

How does Law 25 apply to call recordings and voicemails?

Recordings and voicemails often contain personal information, so Québec’s Law 25 applies to them like any other data. In practice, that means informing callers when calls are recorded, keeping recordings only as long as needed, limiting who can listen to them and knowing where they are stored. Nexxo configures 3CX to support these obligations and documents the setup. It is not legal advice, and we work with your privacy officer.

Will our calls sound clear over the internet?

Call quality depends mostly on your network. Choppy or one-way audio usually comes from a busy internet connection, a poorly configured firewall or weak Wi-Fi. Because Nexxo manages those too, we configure quality of service so voice traffic gets priority, check your bandwidth and fix the network side. If a problem appears later, one team investigates the whole path instead of two providers pointing at each other.

What does 3CX support from Nexxo include day to day?

We keep your system updated and secure, monitor it, and handle moves, additions and changes: new employees, departures, new greetings, holiday hours or a new queue. If a phone stops working or calls sound poor, you contact our support team, 24/7, and we troubleshoot the phone, the network and the firewall together. You have one point of contact for your phones and the rest of your IT.
